2. What this policy covers

It covers this website and the correspondence that follows a request. It does not cover the material held inside your own organisation. Where we are engaged to build a hub, the material you send us for that purpose is dealt with in section 6 of ourTerms of Service as well as here.

3. Information we collect

Hub request details

The form on this site asks for a name, a work email address, an optional company name, the users or departments a hub would serve, the types of material involved, where you expect the hub to live, and a short description of what the hub needs to do.

The form sends nothing by itself. There is no server behind it. It checks what you have written, then hands the finished message to your own email programme, which opens with the details already in it so you can read them and decide whether to send. The same text is shown on the page, ready to copy if you would rather write to us yourself. Nothing reaches us until you press send in your own email programme, and the form stores nothing in your browser.

Correspondence

If you write to us we hold your message and our reply, together with anything you choose to include, for as long as we need it in order to answer you and to keep a record of what was agreed.

Website usage

This is a static website. It sets no cookies of its own, carries no advertising and does not profile visitors. Our hosting provider may keep ordinary server logs, such as IP addresses and requested pages, for security and diagnostics. 4. Why we use it

• To answer your request and discuss what would suit your team.
• To agree the scope of a piece of work and to carry it out.
• To keep a record of what was agreed and of our correspondence.
• To meet obligations that apply to us, such as keeping business records.

We do not sell information, we do not share it for marketing, and we do not send marketing messages unless you ask us to.

5. Our lawful basis

Under the UK General Data Protection Regulation we rely on our legitimate interest in answering business enquiries, on the steps necessary to enter into and perform a contract with you, and on our legal obligations where record keeping is required.

6. Who else sees it

Information stays with Versionelyx except where a service we use to run the business necessarily handles it, such as an email provider or a website host. We do not transfer information outside the United Kingdom unless a provider we use does so, in which case it will be recorded in this policy.

7. Material you send us for a piece of work

If we are engaged to prepare a hub, you may send us logos, images, presentations, templates and wording. We ask that this material be ordinary, non-confidential business and brand material, and the site says so at every point where you might send something. We use it only to carry out the agreed work, we do not pass it to anyone else, and we do not offer storage, hosting or backup of it: keeping your own copy remains your responsibility.

If material you send contains personal information, for example a photograph of a member of staff or a name inside a template, we handle it only as part of the agreed work and return or remove our working copies when the work is finished.

8. How long we keep it

Requests that do not lead to work are kept only as long as they are useful to answer, and records connected with an order are kept for as long as business and tax record keeping requires. The exact periods are still to be confirmed:[Retention periods to be confirmed].

9. Your rights

You may ask us to:

• tell you what information about you we hold, and give you a copy of it;
• correct anything that is wrong or incomplete;
• delete information we no longer need to keep;
• restrict or object to how we use it;
• provide it in a portable form, where that right applies.

Write to customer@versionelyx.com and we will answer within the period the law allows. If you are not satisfied with our answer you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection.

10. Cookies

This site sets no cookies. Nothing on it tracks you between visits, and no consent banner is needed because there is nothing to consent to. If that ever changes, this policy will be updated first.

11. Changes to this policy

If this policy changes, the revised version will appear on this page with a new effective date. Where a change materially affects information we already hold about you, we will say so in writing.
